1. The purchase description states "Hotel must have any of the five AAA Diamond ratings or equivalent." Currently AAA no longer has five (5) Diamond Ratings, they only have 3, 4 or 5 Diamond ratings, what do you consider equivalent? Will you accept AAA Star ratings?
2. Will you provide a tax exemption certificate to the awarded vendor?
3. Line Item #003 lists 141 double occupancy rooms will you allow 2 Hotels to accommodate that large number of rooms or can that line item be skipped completely?
Response Received:
1. Any hotel must have any of the following AAA Diamond Ratings: Approved, Three Diamond, Four Diamond, Five Diamond. Equivalent means an equivalent rating per alternate industry specific rating system.
2. Check the states tax exemption policies, many states use the award (purchase order) as the documentation. We will not issue a tax exemption certificate.
3. A maximum four (4) hotels may be used if the following conditions are met:
Any hotel needs to be within 10 miles of 1770 Shopton Road Charlotte, NC.
For rooms on CLIN 0003, the rooms must be divided per below if multiple hotels are used:
35 double rooms together
47 double rooms together
37 double rooms together
22 double rooms together

How many parking spot are needed?
Response Received:
No more than 40 parking spots for single hotel.
8 to 10 parking spots per hotel (maximum 4 hotels) if multiple hotels used.

1. Page 5- Purchase Description = states that exterior doors shall be secured electronically. Is that referring to the exterior of hotel or rooms?
2. Page 6-7 = Can the lodging for occupancy be shared with another hotel?
3. Should the quote include or exclude taxes?

1. Exterior doors refers to exterior of the hotel. Room doors must be interior.

3. Purchases by the Federal Government are tax exempt by law and most states accept the purchase order as evidence of purchase by the Federal Government. This is not tax advice and does not guarantee that the jurisdiction the purchase is in will waive the sales tax. It is the vendors' responsibility to check applicable state laws before making an offer.
